Issuing , controlling and allotting Reference number to HPLC and GC columns.

OBJECTIVE :


To lay down a procedure for Receiving, Issuing, controlling and allotting Reference

number for HPLC and GC columns.

RESPONSIBILITY :

2.1
Officer-Analytical  Research & Development( AD) / Quality Control (QC)

2.2
Head - AD/QC to ensure compliance.

3.0
PROCEDURE

3.1
After receiving GRIR from Stores, Officer AD/QC shall check the HPLC and GC

columns against the Purchase requisition ( Specifications).

3.2
The Officer AD/QC shall submit the GRIR with comments to Head AD/QC.

3.3
The Head AD/QC shall approve the GRIR and send it to Stores with comments.

3.4
Officer AD/QC shall raise the store indent for approved column.

3.5
On receipt of  HPLC /GC columns from stores the Head AD/QC shall enter the

details in the respective column stock cards ( Refer annexure-1) and kept in

appropriate storage area.

3.6
Officer AD/QC, if required any new HPLC/GC columns raise the HPLC or GC column

requisition slip and submit to Head AD/QC ( Refer Annexure - 2).

3.7
After approval, Head AD/QC will issue the new column and maintain the stocks.

3.8
Officer AD/QC shall enter the details of columns in respective column register

(Refer Annexure - 3).

3.9
Officer AD/QC shall enter the certificates and column literature into respective

column certification file.







3.10
Column reference number shall consists of 6 characters.

3.10.1
The first two characters denote LC for liquid chromatography or GC for Gas

chromatography.

3.10.2
The third character 'C' denotes column.

3.10.3
The last three characters are serial numbers in sequential order, starting from 001

for HPLC and GC columns separately.


Example :


The reference number for the first HPLC column received shall be numbered as

LCC001.

The reference number for the first GC column received shall be numbered as

GCC001.

3.11
Officer AD/QC shall enter the date installed whenever column taken for use for the

first time.  Once the column expired, date shall be entered in the " Date expired"

column and retain the column into the respective area.

DOCUMENTATION :

4.1
Specimen format of "COLUMN STOCK CARD " (Annexure - 1).

4.2
Specimen format of " HPLC/GC column requisition slip" ( Annexure - 2).

4.3
Specimen format of " Column register " ( Annexure - 3). 

Users of this SOP are requested to prepare their Annexures suitabley as mentioned above
